RGF Staffing Belgium is one of the largest HR service providers in the country and is part of the international RGF Staffing Group. With strong brands like Start People, Unique, Bright Plus, USG Professionals and Solvus, RGF Staffing connects thousands of companies with temporary workers across Belgium every day.

To further digitalise their services, RGF Staffing developed a modular client and candidate portal together with Providit. This allows clients to easily manage the planning and performance of their temporary workers, while the temporary workers themselves can track their own files – from availability to contracts and documents.

Challenge

More autonomy for clients and temporary workers

To make its services future-proof, RGF Staffing wanted to set up a scalable digital environment focused on more autonomy for clients and temporary workers. This meant, among other things, that temps needed to be able to indicate their availability, report illnesses, sign contracts and view their salary information via an app or portal. Clients, on the other hand, needed to be able to easily manage planning, check performance and request reports.

”The biggest challenge lay in the complexity of our organisation: RGF Staffing operates according to a multi-brand model with different brands, each with its own branding and needs. Our IT department supports all these brands from one central organisation, which means technological solutions had to be flexible and modular.

The new system also needed to be well integrated with existing backend systems such as payroll administration tools, document management and validation structures. Due to this interdependence, changes in the source systems often also impacted the portal.

Finally, RGF Staffing wanted to move quickly, but they chose to bring in external expertise because it was not easy to free up enough development capacity internally.

Solution

Modular platform built with low-code

RGF Staffing issued an RFP with the goal of developing a flexible, modular client portal. Various technologies and partners were evaluated based on an extensive list of internal requirements. Providit responded to this call and proposed the low-code platform OutSystems as the recommended solution.

Two parties were chosen to present their approach in a proof-of-concept. Although both parties worked with OutSystems, Providit distinguished itself with its very clearly written explanation, realistic estimates and direct style. This instilled confidence – in both the technology and the collaboration.

Ultimately, a full-fledged solution was chosen with a separate environment for clients and temporary workers, including a mobile app. Each brand version has its own access and branding, but the technical foundation remains shared and scalable.

This division formed the basis for a clear separation in functionalities, tailored to the needs of both target groups:

A hybrid team was assembled for the development: two in-house analysts and an integration specialist worked closely with three OutSystems developers from Providit. This choice proved efficient, given the limited internal capacity and the ambition to make rapid progress.

The combination of an agile approach and the low-code nature allowed Providit to quickly get up to speed and actively participate as part of the team – ensuring immediate progress without compromising quality.

Results

High-performance, user-friendly and scalable

The result is a high-performance, user-friendly and scalable system that is now being actively used by thousands of temps and hundreds of RGF Staffing clients. The impact is notable on multiple fronts.

Cost-efficiency

The maintenance cost remains limited. There is little need for support unless there are major changes in the underlying data sources. The long-term cost is also under control thanks to good documentation and the reusable structure.

Modularity

Since about 80% of the functionalities are generic for the business needs of all brands, new components can be rolled out relatively quickly. The remaining 20% is custom work tailored to the commercial strategy of each brand in the group.

User-friendliness

The portal and app interface were designed with simplicity in mind. Users can easily work with it, without requiring much digital knowledge, thanks to clear navigation and integration with existing systems.

Efficiency

RGF Staffing employees are less burdened as both clients and temporary workers can now largely perform their tasks themselves – reducing the pressure on operational teams and speeding up the turnaround time of administrative processes.

Collaboration

The collaboration with Providit is experienced as very positive. RGF Staffing clearly feels that Providit has exceptionally in-depth knowledge of OutSystems:

Finally, the support within the organisation has also grown. Where there was initially some reluctance about low-code technology, it is now clear that it is a powerful and professional solution for projects where speed, integration and user-friendliness are central. For example, OutSystems has almost all the components ready to set up role-based security, a range of examples of self-service portals and many out-of-the-box integration possibilities.
